According to Section 3.3.4 of the AIPM Code of Practice, events must be held in appropriate venues and conditions conducive to achieving the scientific and educational goals of the event.

Venues primarily known for entertainment or luxury, or that may appear extravagant, are to be avoided. Locations that evoke associations with leisure or exclusivity are prohibited, regardless of their official classification.

Recommended venues include business centers, academic institutions, and other facilities dedicated to professional or educational use. Public venues may only be used if access is restricted or the area is closed off during the event.

Entertainment or sporting activities may not be used to attract healthcare professionals to promotional or scientific events.

Venue selection must adhere to the following non-exhaustive criteria outlined in Appendix 3, Section 13 of the Code:
Event Locations and Venue Criteria
  1. Location
1. Geographically, the event should take place in a city or town recognized as a scientific, business, regional, or administrative center, or nearby. Travel should be reasonable and logistically justified (e.g., regional congresses must be held within the relevant region).

2. The venue must not:

a. Be primarily known as a resort or tourist destination; or

b. Be perceived as a highlight or incentive of the event.

3. Exceptions apply when:

a. The event is organized for participants residing in the local area; or

b. The supported event is a recognized national or international annual conference held by a professional association and is not scheduled during the peak tourist season.
2. Venue
Suitable venues include business and congress centers, medical or academic institutions, hotel conference halls, and other locations that support the event’s educational and professional purpose.

The following are not permitted:

  • Extravagant venues that do not support the event’s scientific or educational goals (e.g., spas, casinos, places of worship, museums, estates, parks, hangars).
  • Boutique or 5-star hotels, resorts, spas, country clubs, or similar leisure-oriented venues.
  • Locations associated primarily with entertainment (e.g., yacht clubs, theaters, concert halls, cinemas, racetracks, malls).
3. Entertainment Component
The event must not coincide in time or place with major international sports, cultural, or entertainment events. Such events must not be used to attract participants or be perceived as part of the program.
